AI Accounting: assisted intelligence, mandatory human validation
AI structures your documents and proposes entries. This is not autonomous accounting: you validate every file before export to your Swiss software.
What is AI accounting — Cortex framing
AI accounting means using artificial intelligence to accelerate repetitive tasks: reading documents, structuring records, proposing entries. AI is a means — not the promise. Cortex uses it to organize your multi-ERP file, without forced migration or permanent bank sync. Final validation and accounting responsibility remain yours: no entry is exported without your approval. For optical reading, see the OCR accounting page. For “autonomous” search intent, see the anti-autonomy bridge.
How Cortex uses AI — with human control
- Upload your documents — Invoices, receipts, statements: upload the pile, whatever the document language.
- AI-assisted structuring — Separation of records, data extraction, file numbering — preparation, not a final decision.
- Proposed entries, validated by you — Cortex proposes and checks VAT consistency. You review and validate before any export — mandatory human validation.
- Ready-to-transmit file — Native export to your software and structured file ZIP — only after your validation.
Organized Accounting: the Cortex triptych
- Structured accounting documents — AI separates, renames and numbers your documents. The pile becomes a usable set of records.
- Proposed entries — you validate — Entry proposals with Swiss VAT checks. No unattended approval: you decide.
- Ready-to-export accounting file — Export to 6+ Swiss software + ZIP to keep on your side.
Who it is for — controlled AI accounting
- Swiss SMEs — Reduce sorting and manual re-entry. AI proposes; you validate and analyse before ERP export.
- Fiduciaries — Structure client files upstream. AI speeds preparation — you (or the mandate) keep accounting control.
- Freelancers — Upload your receipts. Cortex structures and proposes — you validate in a few minutes before export.
Practical cases — assisted AI, not autonomous
Mixed PDF batch → VAT proposals to validate
Typical scenario: QR invoices, receipts and a multi-page PDF. AI separates and proposes entries with 8.1% / 2.6% / 3.8% rates. You correct ambiguous cases before Crésus or WinBiz export.
Multi-mandate fiduciary — AI upstream of the ERP
Each mandate keeps its ERP. Cortex prepares documents + proposals; validation stays human per file. No single imposed “live accounting” stack.
Freelancer — ZIP archive after validation
After validating entries, Banana/CSV export + numbered ZIP. Cortex purges sources within ~48 h; legal retention stays with you.
All-in-one AI accounting vs Organized Accounting
| AI accounting in one software stack | Cortex — Organized Accounting | |
|---|---|---|
| Outcome | Suggestions inside a proprietary stack (often bank-connected) | Structured accounting file, numbered documents, multi-ERP export |
| Stack | Migration toward the AI platform | Keep Crésus, WinBiz, Abacus… Cortex prepares upstream |
| VAT check | Varies by tool | Built-in Swiss VAT check (8.1%, 2.6%, 3.8%) before export |
| Validation | Often framed as a single click | Mandatory human validation before any export |
| Bank | Open Banking / permanent sync common | Statement import (CAMT/PDF) without permanent bank connection |
| Autonomy | Frequent “runs without you” narrative | Explicit AI assistant: you stay in the loop |
OCR vs AI accounting vs “autonomous” vs Cortex
| Intent | Cortex page | What it is | Validation |
|---|---|---|---|
| Reading / extraction | /ocr-comptable | OCR as a reading means, not an end product | Human before export |
| AI accounting | /comptabilite-ia | AI = assistant: structuring + proposals | Mandatory human |
| “Autonomous” (search) | /comptabilite-autonome | Anti-autonomy bridge: we refuse a pilot without you | Human — no autonomy |
| Organized result | /comptabilite-organisee | Documents + checked entries + ready file | You validate the file |
Why trust controlled AI accounting
- Mandatory human validation — No entry is presented as « automatically validated ». Cortex proposes and checks; you decide before export.
- Verifiable Swiss specifics — QR invoices, public VAT rates (8.1%, 2.6%, 3.8%), CAMT.053/MT940 formats — without permanent bank connection.
- ERP complementarity, not replacement — Export to 6+ Swiss software. Cortex replaces neither your fiduciary nor your ERP.
FAQ — AI accounting
What is AI accounting?
Using AI to accelerate structuring and proposing accounting entries — with mandatory human validation.
Does AI replace the accountant?
No. It reduces sorting and repetitive re-entry. Validation and responsibility remain human.
Does Cortex promise automatic or autonomous accounting?
No. Cortex proposes and checks. You validate each file before export. No full autonomy, no machine-final decisions.
What is the difference between AI accounting and OCR accounting?
OCR reads and extracts (OCR accounting page). AI accounting covers the assisted method: structuring, entry proposals, checks — always validated by you.
How does this differ from the “autonomous accounting” page?
“Autonomous” corrects a misleading search intent. “AI accounting” is the positive pillar: assisted AI + human validation. Both reject a pilot without control.
What is the difference between AI accounting and Organized Accounting?
AI is a means. Organized Accounting is the result: structured accounting documents, checked entries, ready-to-export accounting file.
Is Cortex an alternative to “live accounting” / all-in-one AI stacks?
Cortex does not replace your software or permanently connect to your bank. It organizes the document file and proposes checked entries for export — complementary to a Swiss ERP.
Does AI understand Swiss specifics?
Yes. QR invoices, Swiss VAT rates (8.1%, 2.6%, 3.8%), CAMT.053/MT940 bank formats.
Does Cortex replace your fiduciary?
No. Cortex is a structuring assistant that works with your fiduciary or in-house expertise.
Which accounting software is supported?
Crésus, WinBiz, Abacus, Sage, Banana Accounting and WinEUR.
Where are my records stored?
With you. Cortex purges sources within 48 hours. The file ZIP is for you to keep.
Does AI decide VAT checks or bank matching?
No. VAT math and debit/credit balance are checked by a deterministic engine, no LLM involved. Bank reconciliation prioritises deterministic QR-bill reference matching; amount/date proximity matching stays probabilistic, shown with a score, never auto-validated.
