Accounting OCR: from reading to an organized file
OCR reads documents. Cortex does not sell OCR as an end product — it organizes the accounting file: structured documents, proposed and checked entries, ready export.
What is accounting OCR — and what it is not at Cortex?
OCR (optical character recognition) reads and extracts data from your financial documents: invoices, receipts, Swiss QR invoices. It is a useful building block — but reading a document is not enough to produce a usable accounting file. Cortex positions OCR as a means toward Organized Accounting: structure documents, propose entries, run checks, and prepare a file ready to transmit or export.
How Cortex goes beyond OCR alone
- Upload mixed documents — Drag and drop PDF invoices, photos, or multi-page batches. All common formats accepted.
- Reading and structuring — OCR extracts data; Cortex splits, renames, and numbers each document in the file.
- Proposed entries, checked by you — Entry proposals with VAT checks. Uncertain cases go to review — human validation required.
- Ready-to-export file — Download entries in your software format and the structured file ZIP.
Organized Accounting: the Cortex triptych
- Structured accounting documents — Your mixed documents are split, renamed, and numbered. Each document becomes identifiable in the file.
- Proposed and checked entries, validated by you — Cortex proposes entries, checks VAT consistency, and flags ambiguous cases. You validate before export.
- Ready-to-export accounting file — Export to 6+ Swiss software and ZIP file to keep on your side. Cortex does not replace your ERP.
Use cases
- SME — Reduce sorting and manual re-entry on document clutter while keeping entry validation.
- Fiduciary — Receive structured client files (numbered documents, proposed entries) without changing ERP.
- Freelancer — Upload supporting documents, validate proposals, export to your usual software.
Practical examples
Multi-page PDF batch
Typical example: a mixed PDF becomes separated, renamed, numbered documents — then proposed entries to validate. Context: Accounting OCR in Switzerland.
Fiduciary handoff
The client uploads clutter; Cortex structures; the fiduciary receives a usable file, not a bag of scans.
OCR alone vs Organized Accounting
| OCR alone | Cortex — Organized Accounting | |
|---|---|---|
| Outcome | Isolated field extraction (amount, date, vendor) | Structured accounting file, numbered documents, ready export |
| Document ↔ entry link | Raw data without an audit-ready link | Structured documents linked to proposed entries |
| Accounting control | Reading only, no proposal or validation | Proposed entries, VAT checks, human validation |
| Promise | Read a document | Organize the file end to end |
Trust and responsibility
- Human validation — Cortex proposes and checks. Entry validation and accounting responsibility stay human — human validation required before any export.
- Swiss compliance (nFADP) — Source documents are purged on Cortex within about 48 hours. Export and archive the file ZIP on your side or with your fiduciary.
- Does not replace your fiduciary or ERP — Cortex organizes upstream. Your fiduciary and software (Crésus, WinBiz, Abacus…) remain the reference frame.
FAQ
What is accounting OCR?
OCR automatically reads your financial documents and extracts key data. It is one step — not a complete accounting solution.
Is OCR alone enough?
No. OCR extracts isolated fields. An accounting file requires structured documents, checked entries, and a coherent export.
Is Cortex just an OCR tool?
No. Cortex uses OCR as a means, then organizes the full file: splitting, numbering, proposed entries, export.
What is the difference between OCR and Organized Accounting?
OCR reads. Organized Accounting structures the file end to end: documents, checked entries, ready file.
Does Cortex replace my accounting software?
No. Cortex organizes upstream. You export to Crésus, WinBiz, Abacus, or your usual software.
Is extracted data secure?
Yes. Source documents are deleted after 48 hours. nFADP and GDPR compliant.
Does OCR recognize Swiss QR invoices?
Yes. QR invoices are decoded (QR-IBAN, amount, reference) then integrated into the structured file.
How are multi-page PDFs handled?
Cortex separates mixed documents, identifies each piece, and places it in the numbered file.
Do you publish an OCR precision rate?
No. No public percentage. Cortex will not compete on displayed accuracy claims: human review remains mandatory.
OCR vs AI accounting — same page?
No. OCR is document reading. AI accounting is the assisted method (proposals, checks) — not OCR-as-product and not full autonomy. See the AI accounting page for that intent.
