Swiss fiduciaries: multi-mandate prep tool — not a fiduciary service

Cortex is not a digital fiduciary firm. It is a preparation and export tool: client clutter → structured documents without mixing, proposed entries to validate, export to each mandate’s software.

Organized Accounting for a multi-mandate firm

A fiduciary firm juggles dozens of clients, each with their own mixed documents and sometimes their own software. Cortex receives documents client by client, splits, renames and numbers them without ever mixing mandates. For each file, Cortex proposes entries with a multi-rate VAT consistency check; uncertain cases are flagged for your review, never validated alone. Once checked, you export to that mandate’s software. Cortex lightens repetitive manual re-entry; it is not a fiduciary service and does not replace advisory work, tax filings, or client relationships — unlike hybrids that host both the software and the mandate.

How Cortex fits into a multi-mandate firm

  1. Receiving documents per mandate — Each client uploads or sends their mixed documents in their own dedicated space, with no mixing between mandates.
  2. Structuring per file — Cortex splits, renames and numbers the documents of each mandate separately.
  3. Proposed and checked entries — Cortex proposes entries with VAT checks for each mandate. Uncertain cases are flagged to your team.
  4. Export to the mandate's software — You validate then export to the software used by each client — no migration or ERP change.

What Cortex brings to your firm

  • Multi-mandate without mixing — Each client has their own space and structured file — no crossover between mandates.
  • Proposed and checked entries — Multi-rate VAT consistency checks reduce review time per mandate, never validating alone.
  • Compatible with your existing ERPs — Export to 6+ Swiss software. Your clients keep their software, Cortex does not impose one.
  • Fast document purge — Source documents are deleted about 48 hours after processing. GDPR and nFADP compliant, per mandate.

Typical firm situations

  • Client sends a catch-all PDF — Split and number before your review — less time lost on manual sorting.
  • Multi-software portfolio — One mandate on Crésus, another on WinBiz: same Cortex upstream, distinct exports.
  • Closing peak — Speed up document rework while keeping final validation inside the firm.

Practical examples

Multi-page PDF batch

Typical example: a mixed PDF becomes separated, renamed, numbered documents — then proposed entries to validate. Context: Swiss fiduciaries.

Fiduciary handoff

The client uploads clutter; Cortex structures; the fiduciary receives a usable file, not a bag of scans.

Fiduciary+software hybrid vs Cortex prep tool

Service + software hybrid Cortex — prep/export tool
Offer type Often fiduciary service + platform (Digital Admin, WeCount, Accounto…) Preparation tool only — no fiduciary mandate
Multi-mandate workflow Production hosted in their ecosystem One file per mandate, no mixing, export to the client’s ERP
Entries Handled in their service/software chain Proposed and checked entries; final human validation stays with you
Client software Frequent migration or lock-in to their stack Native export to 6+ Swiss software, no migration

Trust and responsibility

  • Human validation — Cortex proposes and checks. Entry validation and accounting responsibility stay human — human validation required before any export.
  • Swiss compliance (nFADP) — Source documents are purged on Cortex within about 48 hours. Export and archive the file ZIP on your side or with your fiduciary.
  • Does not replace your fiduciary or ERP — Cortex organizes upstream. Your fiduciary and software (Crésus, WinBiz, Abacus…) remain the reference frame.

FAQ

Is Cortex a fiduciary service or digital fiduciary firm?

No. Cortex is a preparation and export tool for firms: it structures documents and proposes checked entries. The mandate, advisory work, filings and final validation stay with you — Cortex does not sell fiduciary services.

How does Cortex differ from Digital Admin, WeCount or Accounto?

Those players are often fiduciary + software hybrids. Cortex replaces neither your firm nor their service: it prepares the multi-mandate file upstream, then exports to ERPs already in use (Crésus, WinBiz, Abacus…), without forced migration.

How does Cortex handle several clients without mixing them?

Each mandate has its own space and structured file — documents and entries are never crossed between clients. That is the core multi-mandate workflow.

Do my clients need to change accounting software?

No. Cortex exports to 6+ Swiss software: Crésus, WinBiz, Sage, Abacus, Banana Accounting, WinEUR. Each client keeps their tool.

Is my clients’ data secure?

Yes. Source documents are deleted about 48 hours after processing, in compliance with GDPR and nFADP.

Is there a plan designed for fiduciary firms?

Yes, a Fiduciary plan covers several mandates and users. See the pricing page for plan details.

Are proposed entries validated automatically?

No. Each entry goes through a consistency check and uncertain cases are flagged — final validation always stays human.
